Guy Proulx welcomed the directors to the meeting.

Minutes of the meeting of January 11, 2017

The minutes of the meeting of January 11, 2017 were approved and have been posted on the QCC website.

Financial Overview

Teri Carucci distributed a copy of the 2016 annual financial statement. She explained the revenues and disbursements to the committee members. The bank account balance is at $4,824.42 as of December 31, 2016 which includes $500.00 deposit for the boat cruise of August 2017.

The 2016 financial statement will be posted on the Website.

Teri reported that she asked the bank about the possibility for our members to pay through e-transfers. It is possible, however, only one dedicated person would have one card for QCC. The committee members discussed how this could work for our events and decided to try it for the golf tournament. Johanne St-George will be the dedicated person receiving all e-transfers for the golf tournament. She will then inform the organizers of the event that payment has been received. If necessary, Johanne and Brian will look at drafting internal procedures for the committee members.

Teri also presented the new statement of account form that is required to be completed be the organizers for all events. Committee members were pleased with this new version and welcomed a more simplified way of capturing the finances for the events. It was requested that e-transfers be added to the form.

Teri asked the committee about the boxes of paper files from the former treasurer. The committee members all agreed that the files should be destroyed. Teri will ensure that these are shredded. Teri has a USB key with most records and will make a duplicate one for Guy, as president.

Update of Past Events

Winter Luncheon– February 22, 2017

This event was hosted by Brian McCauley and Guy Proulx at Robbies on St-Laurent Blvd. Brian reported that 52 people registered and 43 attended. This event generated $85.00 for the QCC from the 50/30/20 draw. There seemed to be more people from work at this event. The restaurant did a great job; the service was quick and appreciated for those who had to return to work. Some found the room a little loud. It was suggested that next year we ask for the larger room and more tables instead of two long tables.

Brian circulated a card for everyone to sign for Jack Anderson, past QCC president. He is now 96 years old; retired from CRA in the late 1960s. Brian and Guy will visit him shortly at the residence.

Annual General Meeting – Future Plans

No decision has been made yet regarding which event will include the AGM information.

Curling – April

The curling event for April has not attracted a lot of players. At the time of this meeting, only five teams were registered. It was agreed that the committee will need to decide if this is still an event that will be offered in the future.

Spring luncheon at the Mill St. Pub.

Lisa brought forward the requirement to guarantee $1,000.00 of food/bar bill in order to have a separate room. After some discussion, the committee asked Lisa to verify when we may cancel the reservations if we have insufficient registration. With sufficient registration, the committee agreed that it would be a small risk to take and that not all QCC event need to generate profits.

Golf Tournament – June 5

Lucie mentioned that the contract with the Hammond Golf Course has been signed and the deposit provided. The organizers will finalize the poster and ensure the Website page is updated. The poster should be distributed before the end of April.

August Boat Cruise

The details regarding this event will be discussed at a future meeting.

September Happy Hour

Johanne and Lucie will explore venues, including the RA Center and get back to the committee at the next meeting.

Potential New Activities

Luncheon on the Quebec Side

A suggestion was made regarding having a luncheon at the Lac Lemay Casino in Gatineau. Guy will explore that possibility.

PaintNite

Leslie has done some work regarding the possibility of a “PaintNite”. However, it seems difficult to have a session reserved to QCC members. Lucie mentioned that she would communicate directly with one of the artist and get some advice on what is the process to have a session exclusively for the QCC members. Lucie will inform Leslie once she has the information.

Gastronomic Dinner with Wine Pairing

Johanne provided information regarding the possibility of having a gastronomic dinner at the restaurant Canvas on Holland. The restaurant is a little small; would only accommodate a maximum of 40 people. The committee agreed that we should go ahead and if more people are interested, we could look at having another one. Johanne and Brian will work together to make this happen.

Dinner with Beer Pairing

Johanne shared the menu from the Craft Restaurant at Lansdowne. It includes a three-course meal with beer pairing and dessert. She mentioned that it is available every last Tuesday of each month. Johanne will get some feedback from people she knows that will be attending and report back to the committee. This could be an event for November 2017.

QCC Executives

Guy formally announced that Anne Morin has resigned from the Board of Directors due to personal circumstances. The committee acknowledged Anne’s contribution in the last few years. Her name needs to be removed from the list of activities and the executive list on the Website.

Guy invited members to think about other possible candidates within the workforce to join the committee. And, if possible, have a representation from the different branches.

QCC Website

Guy will ask our IT consultant about printing the poster. There seems to be some difficulty in printing in an acceptable format. the organizers of the events.

Other Items

Wendy will look at the dead links issue on Infozone.

QCC Visibility

Guy briefly reminded the committee about the presentations that will take place to the Branches’ management teams. Guy will try to schedule them all before the summer months.

Guy mentioned that the survey will be distributed at those presentations asking management to share with some of the staff. Some changes to the survey were highlighted at the meeting.

Items to be discussed at future meetings

Ann P. will set up a Drop Box and send to Lisa and Leslie for testing. They will report back at the next meeting.

Consideration should be given to having more Qs&As for the Website.

The next meeting will be on Wednesday, May 24, 2017 at 5:00 pm at the Train Yards.
