Introduction

Guy Proulx welcomed the directors to the meeting. Guy formally welcomed Joanne St- Georges and Odette Beaubien as directors of the QCC. Joanne and Odette were elected to the position at the Annual General Meeting (AGM) on October 20, 2016.

Minutes of the meeting of September 12, 2016

The minutes of the meeting of September 12, 2016 were approved and will be posted on the QCC website.

Financial Overview

Teri Carucci indicated that the bank account balance will be at $4,805.05 after the payment to the Hellenic Center for the AGM. All in all, the bank balance is at a good level.

The 2016 annual financial statement will be finalized after December 31 and then posted on the website. Teri will resend a copy of the 2015 financial statement to Guy in order to be posted on the website.

Some board members have indicated issues in filling out the financial statement form for each individual event. This issue will be discussed further at a future meeting. The form may need to be simplified.

Update of Past Events

Golf and Happy Hour – September 15, 2016

This event was hosted by Robert Way, Guy Proulx and Lucie Houle. However, Lucie was not able to attend. Robert reported that 24 attended the golf and 26 attended the happy hour at the Royal Oak of which only two were non-golfers. This event generated $120 for the QCC.

It was decided to have the golf and happy hour event separate for next year. The hosts for the happy hour will look at the RA Center for September 20, 2017.

No decision was made regarding a golf event for next fall.

Entertainment Night and Annual General Meeting – October 20, 2016

This event was hosted by Leslie Lawry and Sylvia Faulkner. It was held at the Hellenic Meeting and Reception Centre, 1315 prince of Wales Drive. As in a few of the events in the past year, the AGM attendance was lower than in previous years. Only 86 people registered and a few less actually attended. The financial report is under completion including the 50/25/25 results. Five $20 gift certificates from the LCBO were given as door prizes. As this event is partially subsidized by the QCC, it does not generate profit. Sylvia delivered 36 lbs. of food donations at the Ottawa Food Bank. The same place has been tentatively booked for 2017.

We had a different entertainer this year - Elvis impersonator vs a comedian. The feedback received was varied. Some really enjoyed the entertainer, they felt he was multi-talented, engaged the crowd by going to each table and having people dance. However, some felt it was not their “cup of tea”. The sound system did not seem to be adequate for the size of the room. Some people could not hear properly. As for the location, the parking is a bonus. The food was average and the wine could have been much better quality for the cost. More dessert would have been appreciated by many. One suggestion was to have individual dessert plates at each table. The lay-out of the room could have been better. The buffet tables and the cash bar were too close to each other which made it difficult for people to move with their plates.

It was agreed that the AGM format need to be revisited at the next meeting in January 2017. Guy invited board members to think about alternatives to the current format. Some suggestions, such as having the event at the RA Center, a restaurant, a comedy club or during the boat cruise will be explored further.

Fall Curling – October 14, 2016

Ann Perry was the host for this event. Ann P. indicated only six teams attended which is less than previous events. It was decided to still continue with this activity and try to recruit more players. This event did generate $34.37 for the QCC.

Upcoming Events

Christmas Luncheon – December 1, 2016

This event will be hosted by Lysanne Gauvin and Wendy Potvin. The Heart and Crown in the Ottawa market has been booked. The announcement was sent out to members in early November 2016 including a request for donations to Toy Mountain (unwrapped toys). Wendy reported that 34 people have already registered; the expected number of attendees is between 55-60. There will be a 50/25/25 draw.

Potential New Activities

Joanne St-Georges volunteered to prepare a survey for the membership to gather information regarding their interests in the club activities; what they would like to have as activities. Guy will retrieve some the information previously gathered from the membership. This item will be on the agenda for the next meeting in January 2017.

Some suggested activities were shared at the meeting, such as Paintnite, bowling, beer tasting, dinner with pairing wines. The board members who suggested the activity would need to bring the information at a future meeting for discussion.

Brian will be speaking with organizers of the Osgoode wine and tasting event to gather information concerning the reasonable cost of participating at this specific wine tasting. Brian will provide an update at the next meeting. (Brian was unable to attend the meeting; update will be provided at the January meeting).

The registration forms for curling, golf, boat cruise and the AGM will be posted on the QCC website.

Guy will revise the calendar of activities for 2017 and post on the website. Some activities will not include specific dates as those still need to be confirmed.

Ann P. with Leslie and Lisa will try to set up a Drop Box and report back at the next meeting.

QCC Visibility

Michael Snaauw briefed the new Commissioner, Mr. Hamilton in September 2016. Unfortunately, Michael was unable to attend this meeting to provide an update. More to come.

Next Meeting

The next meeting will be on Wednesday, January 11, 2017 at 5:00 pm at the Train Yards.
