Guy Proulx welcomed the directors to the meeting.

Minutes of the meeting of September 17, 2015

The minutes of the meeting of September 17, 2015 were approved and require posting on the QCC website. Wendy Potvin will action this item.

Financial Overview

Teri Carucci reviewed with the Directors the interim financial statement for 2015. The current balance in the bank account is just shy of $4,900.00 which is a comfortable balance. This includes pre-payments for the comedian and the hall rental for the Annual General Meeting (AGM) and excludes many payments by attendees to the AGM. Teri will ensure that minor corrections are made to the 2015 interim financial statements as these will be reviewed at the upcoming AGM.

Teri noted that the final statements for 2014 had been sent to Wendy for posting. Teri also reported that Barry Paulson is finalizing the statements for 2013.

Update of Past Events

Fall Curling Bonspiel – October 16, 2015

Ann Perry reported that six teams participated in this event. Nearly $109.00 was made for the benefit of the QCC. Ann P. reported that she is in the process of booking the RCMP curling rink for the spring curling event in April, 2016. Ann P. will confirm the date once the booking is confirmed.

Update of Past Events

Comedy Night and AGM – November 12, 2015

Leslie Lawry reported that the hall has been booked for 125 attendees. So far, 78 people are registered and paid for with a significant number indicating that they will attend but for whom Leslie is waiting for the cheques. Leslie indicated that she was confident that 125 people would be attending.

Leslie indicated that about $100.00 will be spent for sound equipment and lighting at the AGM. Ann P. volunteered to do the upcoming events cards. Lucie Houle will be the Mistress of Ceremonies. Brian McCauley will be looking after the Ottawa Food Bank donations and Guy indicated that he would finalize this with Brian. Leslie indicated that, at this time, she does not require any additional assistance for this event. Ann P., Guy and Wendy will bring rolls of tickets for the 50/50 draw at the AGM.

Leslie agreed to send out a reminder notice for the AGM in the next week with the help of Sheila Willis. Finally, Leslie agreed to provide updates to both Guy and Anne Morin concerning the list of attendees and related payments.

Euchre Evening – November 25, 2015

Ann P. reported that the notice to the membership had been sent out. To date, 19 people have confirmed their attendance. Ann P. agreed to give Sheila a reminder notice for the euchre evening. Sheila will ensure that this is distributed in the next two weeks. Lysanne Gauvin agreed to help Ann P. with this event.

Christmas Lunch – December 1, 2015

The Heart and Crown (Mother McGuinty’s) has been booked for the Christmas luncheon. December 2, 2015 was not available. As a result, the Christmas luncheon will be on Tuesday, December 1, 2015. Wendy and Lysanne will be preparing an invitation for the luncheon. The invitation will mention that donations to “Toy Mountain” will be accepted at the luncheon. It will be available for distribution by Sheila for the week of November 9, 2015.

Potential New Activities

Guy provided an update of his research for an Ottawa River cruise. This would be to watch the Casino de Hull fireworks from a prime spot on the river. It was agreed that this was a low financial risk to the QCC. Guy will go ahead and book the tour boat for Wednesday, August 17, 2016. It is expected that 100 people will attend although the boat can hold up to 125 people. Ticket price will be about $30.00. The invitation for this event will also be opened to the Young Professional Network and the Management Group in the National Capital Region. Guy will assess the level of interest in this event at the upcoming AGM.

Grid of Activities for 2016, the organizers and back-ups

Guy reviewed the upcoming events for 2016 and various directors volunteered to organize the events. Back-ups were identified for treasurer (Teri/Guy), secretary (Lysanne/Robert), internet posting and coordination (Wendy/Sylvia) and support (Sheila/AnnP.). Guy asked that the directors report on the planned dates of the events for 2016 at the next meeting of the Directors.

QCC Director Recruitment

Guy was very pleased to announce that Sylvia Faulkner from the Collections and Verification Branch and Robert Way have both agreed to put their names forward for nomination as Directors of the QCC at the upcoming AGM.

QCC Website

Wendy reported that she expects that the Public Affairs Branch (PAB) will have all the QCC material updated to the QCC website by November 13, 2015. Many updates were on hold, a standard procedure, due to the federal election. All of the material on the QCC website will be provided in HTML to the consultant for posting to the QCC’s new website. Wendy said that she is aiming to have the new QCC website go live for January 1, 2016. An e-mail advising the QCC membership of the new website address will be required. Wendy indicated that the welcoming letter signed by Guy requires updating.

QCC Visibility

It was agreed that shortly after the new website is up and running, Guy will approach the CRA in order to make a presentation to the Agency Management Committee. A draft generic poster was presented to the Directors for review and comment. It was agreed that the poster will be 8 ½ inches by 11 inches so that it can be easily posted on employee information boards in various CRA locations in the National Capital Region.

Lisa Rondeau agreed to “pretty up” the draft poster and provide two or three options to the Directors for final selection.

Connecting with the Young Professional Network

Brian, on behalf of Guy, spoke with the champion of the Young Professional Network (YPN), Brian Philbin. Brian P. indicated that he was very supportive of creating linkages with the QCC. Guy will meet with both Brian P. and the president of the YPN to discuss next steps.
