Guy Proulx welcomed the directors to the meeting.
The minutes of the meeting of March 12, 2015 were approved and require posting on the QCC website. Wendy Potvin is responsible for this action.
Teri Caruci informed the Directors that the balance in the QCC bank account is about $3,077.00. This balance includes the proceeds from the golf tournament held on June 1, 2015 and $1000.00 that has been prepaid for the November 2015 Annual General Meeting (AGM) and Comedy Night. The Board of Directors agreed that it is appropriate that the bank balance, at this time of year, be closer to $5,000.00. As such, steps will be taken to manage the expenditures for each event in the upcoming year in order to increase the QCC’s bank account balance.
Ann Perry reported that this event was well attended. Forty people participated in the evening of card playing. This event generated $171.00 after accounted for expenses for food and prizes. The next euchre evening will be held on November 25, 2015.
Ann P. reported that this was the forty-second bonspiel hosted by the QCC. Eight teams participated in the event held at the RCMP curling rink on St-Laurent Boulevard. In all, the bonspiel generated $259.00 for the QCC.
Lisa Rondeau and Jean-François Normand reported that fifty people attended the spring luncheon held at the Mill Street Brew Pub. The venue was good as the QCC had the entire second floor of the facility. There was much socializing at this event. It was observed that the food service was extremely slow. This is an issue for QCC members attending this luncheon who must return to work. This issue will be brought to the attention of the restaurant. The Spring Luncheon brought in $120.00.
Guy reported that he was extremely pleased that it did not rain on the day of the golf tournament held at the Hammond Golf Course. One hundred and five people participated in the tournament. Guy had requested that the Hammond golf course provide two beverage carts for the tournament and this was done. Having two carts was much better than in 2014 when only one cart was provided. The PA system did work this year and the food was good. The event provided $735.00 in revenue for the QCC.
Guy did an informal survey with the team captains. They indicated that the maximum travel time to get to the golf course is between forty-five minutes to an hour and that the maximum cost to participate is $100.00 even if the cost of the golf course rental is increasing. The team captains indicated that it would be better to cease providing sleeves of golf balls to the participants to keep the cost at the $100.00 mark.
The directors agreed that the 2106 golf event will be held at the same location. Guy and Lucie Houle agreed to host the event in 2016.
Wendy, at the meeting of March 12, 2015, had indicated that the facility had been booked. Wendy will provide an update at the next meeting of the QCC directors. Ann P. agreed to do “upcoming QCC events” cards.
Ann stated that the RCMP curling rink has been booked for this event.
Leslie Lawry reported that the Hellenic Centre on Prince of Wales Drive and that the comedian, Don Kelly, have been booked for this event. This venue provides abundant free parking.
It was agreed that the communication for this event will highlight the change in venue and that a donation box for the Ottawa Food Bank will be in place. Brian McCauley will provide Leslie with wording concerning the Ottawa Food Bank for inclusion in the communication of this event.
Leslie provided a proposed budget for this event. After much discussion, it was agreed to increase the ticket price from $40.00 to $45.00. This new amount still includes a QCC subsidy of $15.00 per ticket. Guy asked Leslie to provide the directors with an updated budget plan.
It was agreed that there will be five door prizes at a value of $20.00 each. These will be gift certificates from the LCBO. Lucie agreed to be the master of ceremonies for this event.
Barry Paulson, Anne Morin and Lysanne Gauvin will be co-hosts for this event. Ann P. indicated that she will prepare the “upcoming QCC events” cards.
Ann P. and Teri indicated that the room has been reserved for this event.
It was agreed to defer any further work on a potential shopping and golf trip to Syracuse given the rate of exchange between the Canadian and American dollar. This will be revisited at a future date.
Brian McCauley agreed to do more research into a wine tasting or beer tasting event in the fall and provide potential costing at the next meeting of the directors.
Guy agreed to look into the possibility of a fall golf tournament which might take the form of a Nine and Dine. Guy will check to see pricing and availability of golf courses.
Ann P. agreed to get information from another group that is planning an Ottawa River cruise to see if the possibility exists for the QCC to team up with this group and thus reduce the possible financial exposure of the QCC.
Guy agreed to speak with Michael Snaauw to recruit someone from his Branch to be part of the QCC Board of Directors. Ann P. will try to identify another representative from the Information Technology Branch.
Guy will speak with Wendy to get an update of the work that is left to be completed on this topic so that the QCC can migrate from the CRA platform to an independent one.
The upcoming Agency Management Committee presentation discussion as well as the development of information posters was deferred pending the update of the QCC website.
Teri confirmed that this will not take place as the bank account that the QCC has will not allow the use of PayPal.
Lucie reported that she has obtained the updated list of coordinators, however, she is waiting for the website information before communicating with them. The communication will be a reminder to send the updated letter to the newly 25 years long service award recipients.
