The minutes were approved and have been posted to the QCC website.

Financial Overview

Teri Carucci reported that the balance in the QCC account is about $5,553.00. This includes all deposits. There are no outstanding cheques to clear from the account.

May 21, 2014
Spring Luncheon

This event was hosted by Jean-Francois, Lisa and Lesley at the Mill St Brew Pub. Overall, the event was very well received with 42 participants many of them new to QCC events. The free parking and easy access are considered to be draws to this location. The room was shared with some other groups but two long tables were reserved for the QCC. The service and food were quite good. A net profit of $105 was generated as a result of 50/50 draws and two watches donated by Tamarack were also raffled.

It was a cumbersome process to arrange the booking of this location. Jean-Francois has brought this to the attention of the management of the restaurant. Consideration will be given to this location for the spring luncheon of 2015.

Golf Tournament

Guy hosted this event at the Hammond Golf Course with assistance from Denis and Barry. In addition, Remi Cote helped out with the tallying of the golf scores. There were 113 people who participated in the golf tournament. This event contributed $814 to the QCC. The weather for the tournament was very good as was the pace of the golfing.

There were a few items that will need to be addressed for next year's golf tournament. There was only one drink cart. The day was warm and the need was there for two carts with cold drinks. The microphone system was in place but had not been hooked up and there was no one at the golf course to hook it up. These items will be brought to the attention of the management of the course for next year's tournament.

It was also noted that it would be a good idea to have, in each cart, a sheet to remind golfers of the various "winning" holes such as the longest drive.

It was agreed to have next year's tournament at the same location on June 1, 2015.

Fall Happy Hour

This event will be held at the RA Centre. Ann Perry will be hosting this event. Ann will be sending a mailing out of the event in early August 2014. Ann noted that she will likely need assistance with the sale of the 50/50 tickets at this event.

Annual General Meeting and Dinner

Leslie is hosting and will look after getting the first invitation -"a reserve the date" - before the end of June 2014. Guy, Denis and Barry will assist Leslie. The room has been reserved at the Sala San Marco and the contract has now been signed. The comedian still needs to be hired. Lesley has agreed to look at a number of different comedians.

The draft of the first mail out for the AGM was reviewed. Minor changes were made to the proposed letter and the first mail out will be along the lines of a "save the date" approach. Lesley and Denis will ensure that the first mail out is done by the end of June 2014 through Sheila. As well, the required information will be sent to Wendy for posting to the QCC website.

It was agreed that the door prizes will be LCBO gift certificates. Terry will let Leslie know what denominations of gift certificates were purchased for last year's AGM by reviewing the financial report from the event. Finally, Guy has agreed to be the MC.

Fall Curling

The curling rink has been reserved for this date. Ann Perry will be hosting this event and will ensure that the first mail out will be sent in early September 2014.

December 4, 2014
Winter Luncheon

The venue for this event will be booked by September 2014 at Mother McGuintie’s in the market. Lysanne and Wendy will be hosting this event.

Potential Future Events

Ann, Lisa, Teri, Wendy and Dave will report on the results of their research about a possible 48 hour shopping trip to the States at the next meeting in September 2014.

Ann provided an update on the research that she has done to have a euchre tournament for QCC members. Ann has looked into using the Margaret Ryvak Community Centre located on Knoxdale Road. The contact person is Ray Martinuk.

The QCC can run the tournament. This will mean paying a room rental fee, getting a liquor license, providing the playing cards and organizing the tournament. Another option is to have the community association look after everything. In this approach, the community association would charge $5.00 per person to play. The community centre is currently available any evening during the summer. During the winter season, Tuesday, Wednesday and Thursday evenings are not available.

It was agreed that these were events to pursue further. To that end, Ann will design a short survey to gauge the level of interest and the potential interest and timing for a euchre tournament and shopping trip. Guy offered to translate the survey and Sheila will e-mail the survey to QCC members.

New AC Sponsor

Guy indicated that Mike Snaauw has agreed to be the new AC sponsor for the QCC. Guy will speak with Gisèle Scott, Executive Assistant to Mike Snaauw to ensure that all is set up to support the QCC. The QCC letterhead will need to be updated. It was noted that the next meeting of the QCC will be held at the Train Yards.

Advertising of non-QCC events

Further to a request from ABSB to advertise their upcoming golf tournament, a discussion ensued as to the QCC's role. It was agreed that the QCC would post on the QCC website, CRA sponsored social events in branches as long as the invitation clearly stated that QCC members would be welcomed to participate in the Branch sponsored events. It was further agreed that such events would not be mailed out to QCC members.

As such, once ABSB modifies their invitation to the Branch golf tournament, the invitation will be posted on the QCC website.

QCC posters

Two different QCC posters have now been located. It was agreed to defer this discussion to the next meeting of the QCC as Barry, who has the lead on this item, was not in attendance at this meeting.

Mandate and future of the QCC

This item was deferred to a future meeting of the QCC as Guy would like to have more directors in attendance for this discussion.

Use of PayPal

Teri provided an update on her research to date on this item. She has spoken with a PayPal representative who said that setting up a PayPal Business account would mean that there is no annual fee for the service. Each transaction would cost $0.30 plus 2.9% of the value of the payment made. This would require setting up a PayPal button on the QCC website or setting up a separate e-mail address to process the payments. The transfer of funds can be set up to be done on a daily basis from PayPal to the QCC bank account. Teri could then have the payer's e-mail address, the amount paid and for how many participants.

Teri will check to determine if the QCC would have to pay any fee by our own receiving bank. As well, she will determine if PayPal charges a fee if the daily amount transferred is less than $50.00. Teri will also review the cost/benefit of setting up this process as compared to the potential take-up for payments for QCC sponsored events that require a payment such as for the curling bonspiels, the golf tournament and the AGM.

Teri will also explore e-transfers/e-interac for use by the QCC.

It was agreed that good progress has been made on this file.

AMC Awareness and Note to Staff

Guy will discuss these items and the related next steps with Mike Snaauw.

On-line Acknowledgement of new memberships

Ann raised the question as to whether the QCC has an automated acknowledgement when someone signs up as a new member of the QCC or provides updated information via the on-line process. Currently, this does not occur. Guy volunteered to draft a bilingual acknowledgement which he will provide to Sheila. Sheila will then be able to use this to acknowledge receipt of the new member’s information or of an existing member’s updated information.

Potential new QCC Director

Brian indicated his willingness to be a director of the QCC. His name will be put forward at the next AGM.
